Understanding the paperwork

Car hire excess insurance: why keeping your own photos still matters

By PickupLens ·

Car hire excess insurance can help with an eligible damage bill, but it is still worth photographing the car before you leave. If a scratch was already there, your collection photos may help you challenge the charge. If something happens during the trip, your photos and return record may also help you provide the information an insurer asks for.

The quick check

Check whether your protection reduces what the rental company can charge or reimburses eligible costs afterwards. Keep collection and return photos, the agreement and any claim documents, whatever protection you choose.

Separate a damage waiver from excess reimbursement

A rental company's damage waiver can limit the amount you are responsible for if the car is damaged, while leaving an excess for you to pay. Conditions and exclusions still apply. Enterprise's UK guidance, for example, describes a waiver included in the hire price and optional protection to reduce the excess. Check your own agreement for the amount and terms.

With a separate excess-reimbursement policy, you may have to pay the rental company first and then claim back eligible costs. That is how insurance4carhire describes its cover. Buying this type of policy does not itself reduce the excess on the rental agreement, so check how your protection works before relying on a phrase such as ‘full cover’.

Check the conditions before collection

Read the policy schedule and wording together. Check the permitted countries, vehicle types, drivers, rental duration and limits, plus any exclusions or reporting requirements. If something is unclear, ask the insurer or rental provider who issued the relevant document. This is especially useful for vans, car clubs or an unexpectedly long rental.

Check the rental company's deposit and payment-card requirements, including how much needs to be available on the card at collection. A separate reimbursement policy does not automatically change those requirements. Save the answers with your booking and keep your policy documents and claims contact details accessible during the trip.

Record existing condition even when you have protection

Photograph the car before leaving, compare visible marks with the collection record and report anything missing through the supplier's process. Include recognisable views and close details of relevant areas. Record wheels and glass as carefully as the painted panels, without assuming that every surface has the same protection terms.

PickupLens preserves the original photos behind your collection report and lets you review the marks you include. If the company later charges for a scratch visible in those photos, you can point to the relevant image and explain that it was present when you collected the car. That is useful whether or not you have excess insurance.

Keep photos with the documents that explain them

If an incident occurs, follow the rental company's and insurer's reporting instructions and deadlines. Write down what happened and keep the documents they request. Your condition report can help you find the relevant photos, but a claim may also require the rental agreement, a charge breakdown or proof that you paid.

Get the claims instructions from your own provider so you use the correct contact details and document checklist. For example, insurance4carhire's claims page directs existing customers to Swinton. Check the route for your policy rather than relying on an address another traveller used for a previous claim.

  • Policy schedule and the applicable policy wording.
  • Rental agreement and collection condition record.
  • Original condition photos and a separate return record.
  • Incident correspondence and reports, where relevant.
  • The charge breakdown, final invoice and proof of payment if requested.

Query an incorrect charge and meet your claim deadlines

Ask the rental company to explain an unexpected charge and send the photos or documents that support your query. At the same time, follow your insurer's notification requirements: a dispute with the rental company does not necessarily pause a claim deadline. The insurer will assess whether the charge meets the terms of your policy.

Your paid PickupLens collection scan includes an optional return scan at no extra charge. Complete it before handing over the keys so you have a record of how you left the car as well as how you received it. Keep the originals and paperwork while any query or claim is ongoing, and follow your provider's advice on how long to retain them afterwards.

Keep the evidence behind the paperwork

PickupLens is a rental-car inspection app for iOS and Android. Preserve clean originals, review observations and keep collection and return records separate. It helps organise condition evidence; it does not provide insurance or decide whether a policy covers a charge.
