Leaving your car at a garage: a quick condition-record checklist
You take a car to a garage to deal with a specific job. Before leaving it, record the visible condition and make sure the job card describes what you have agreed. A few organised photographs can make the later collection conversation clearer without turning an ordinary service visit into a confrontation.

The quick check
Record the car at arrival, identify existing marks with the service adviser and keep the job card and handover details. Check it again when you collect it.
Start with the work you are authorising
Keep the booking confirmation and check the job card describes the requested work and any issue you have reported. Ask how the garage will contact you if additional work is proposed. A condition photograph does not record the scope of a service or permission for extra repairs.
If you are leaving keys outside opening hours, follow the garage's instructions and retain the drop-off details. State when the car was left and when staff actually acknowledged it, rather than treating those as the same event.
Add a condition record to your car service checklist
The Motor Ombudsman recommends checking condition with the garage before work and again on collection. Ask the adviser to note existing visible damage while you are both looking at the vehicle.
Take overall exterior views and closer images of existing marks, including wheels and accessible glass. If a repair concerns one panel, record neighbouring panels as well. Give each detail a wider context so the location remains clear after the car leaves the reception area.
Capture the small handover details
Photograph the mileage and fuel or battery reading while parked. Record the keys and any accessory the garage needs, such as a locking-wheel-nut key. Remove unnecessary valuables and personal documents before handing over the vehicle.
Photograph relevant interior surfaces if the work involves access to the cabin or boot. Keep the record proportionate: you need useful evidence of the areas being handed over, not unrelated personal possessions or pages of private paperwork.
- Registration and arrival time.
- Exterior overview and existing marks.
- Mileage and relevant interior condition.
- Keys or accessories supplied for the job.
Be clear about what could not be checked
Dirt, rain, darkness or tightly parked cars may hide a surface. Note the limitation and ask whether a better inspection position is available. A photograph that cannot show a panel clearly should not be described as proof that it was unmarked.
If staff decline to acknowledge your record, keep your own observations and any correspondence. Do not write that the garage accepted the condition report unless it actually did. PickupLens can organise your evidence, but it cannot obtain the garage's agreement for you.
Complete the record when the job is finished
On collection, check the visible condition before driving away where practical. Keep the invoice and any explanation of the work performed. If something concerns you, show the adviser while the car is still there and record the response.
Preserve the original arrival record and make a separate collection observation. Comparable photographs can help identify a difference, while technical questions about the work may require the garage's explanation or an appropriate independent assessment.
