Lending your car to a friend: agree a condition record before handing over the keys

By PickupLens ·

A quick favour can become awkward when neither person remembers whether a wheel was already scuffed. A shared look around the car before lending it helps both people start with the same understanding. Keep the conversation neutral: you are recording existing condition, not assuming your friend will cause damage.

The quick check

Confirm permission and suitable insurance separately, agree the practical details, and keep a condition record that both people can review before and after the loan.

Settle the practical details first

Agree who will drive, the loan period, where the car will be returned and how you will communicate if plans change. Confirm permission and appropriate insurance before driving. RAC's temporary-cover guidance describes borrowing with the owner's permission, but eligibility and cover depend on the actual policy.

Do not assume a friend's existing comprehensive policy covers your vehicle or the intended use. Check the relevant policy or ask the insurer. Keep this separate from the condition photographs: a complete walkaround does not provide permission or cover.

Walk around the car together

Use a safe, well-lit place and point out existing marks without turning the check into a negotiation about every tiny imperfection. Photograph the whole car, then visible scratches, dents, wheel marks and glass chips with enough context to locate them.

If you disagree about an observation, note the difference instead of recording an agreement that did not happen. A photograph may show a mark clearly but still leave its age or cause uncertain.

Record the details people tend to remember differently

Take a dashboard photograph for the starting mileage and fuel or battery level. Record the keys and accessories being lent, and photograph the seats or boot where useful. Remove valuables and unnecessary personal documents before the handover.

Agree the expected return arrangements in plain language. If a charging cable or other item stays at home, note that it was not supplied rather than expecting a later photograph to explain the omission.

  • Registration, dates and contact arrangements.
  • Existing exterior and relevant interior marks.
  • Mileage and fuel or battery reading.
  • Keys and accessories actually handed over.

Let both people see the same evidence

Keep the original images and share a readable set or report through an agreed channel. Ask your friend to flag anything missing while the car is still present. Save any written acknowledgement separately; sending a report is not proof it was read or accepted.

PickupLens can organise the visible-condition record without needing a special lending mode. Keep the original condition record unchanged after the loan starts. If something later occurs, record the new observation and communication as a separate event.

Check again before the next journey

On return, take a moment together to look at the same areas and record the reading and supplied items. If a new mark is noticed, describe it calmly and retain the relevant photographs rather than guessing when it happened.

A collection-style baseline and a separate return record can help preserve the friendship by reducing reliance on memory. They do not replace the practical agreement, determine responsibility or promise that an insurer will accept a claim.

Give both people a clear starting record

PickupLens is an iOS and Android app for vehicle-condition evidence. Its ordinary capture and report tools can help document your own car before lending it, with original photographs both people can refer to. Visit the download page before the handover to plan a clear starting record.
