Collection evidence
Hire car delivered to your home or hotel: a handover checklist
A rental car delivered to your door saves a trip to the branch, but it still needs a proper handover. Check the actual vehicle, its visible condition and the starting readings before the driver leaves. At a hotel or workplace, also establish who is authorised to accept the car and where the later collection will happen.

The quick check
Treat delivery as the collection inspection: match the vehicle to the agreement, record condition and readings, and confirm the return collection arrangements. A delivery address alone does not explain who may sign or hold the keys.
Prepare for the rental car delivery
Confirm the delivery address, access instructions, expected window and contact number. Ask what documents and payment method must be presented and who needs to be there. Europcar UK's delivery service, for example, sets out document checks and arrival communication; use the requirements for your own booking.
Choose a safe legal place for the handover with enough room to walk around the car. At a hotel, check parking arrangements rather than blocking an entrance. Do not assume reception can accept the vehicle, sign an inspection or hold keys unless the rental company has approved that arrangement.
Check the supplied car before signing
Compare the registration, model and any agreed equipment with the documents. If a different vehicle arrives, ask the driver or branch to confirm the substitution and provide matching paperwork. Look at the condition report before deciding that a visible mark is already included.
Walk around the vehicle while the delivery person is present where possible. Show them any unrecorded mark and ask how it will be acknowledged. Avoid making a rushed signature the only record of a car you have not yet inspected.
- Registration and rental agreement match.
- Visible bodywork, wheels and glass are recorded.
- Cabin and supplied equipment are checked.
- Starting mileage and fuel or charge are documented.
- Existing damage is reported through the approved channel.
Record readings at your handover point
Photograph the odometer and fuel or battery-charge display with the vehicle safely stationary. Ask which figures will be used as the rental starting point and how the delivery journey is treated. A car driven from a branch may not show the same reading as a document prepared earlier.
If a figure differs, request clarification or correction before driving. Keep the full display visible so units and context are clear. Do not estimate an exact fuel quantity from a gauge photograph or assume the delivery distance is yours to pay without checking the agreement.
Make your own condition record before loading
Use PickupLens for a deliberate collection record before luggage, child seats or work equipment hide surfaces. Take wider images and close views of visible marks, then check that the photographs are clear. Keep the driver's acknowledgement and company report separately.
If weather or a cramped parking position prevents a useful view, tell the delivery person and ask for a safe solution. Note the limitation honestly. Do not move the vehicle into traffic or an unsuitable space simply to improve a photograph.
Confirm the later collection while the details are available
Ask how to arrange collection, what time window applies, where the vehicle must be left and how the keys are handed over. Confirm whether you need to remain present and what to do if the collection is delayed. Save the instructions with the rental documents.
At the end of the hire, make a fresh return condition record and obtain an acknowledgement when the car is collected. 'Ready for collection' and 'collected' are separate events. Keeping both clear is particularly useful when the car remains at a home or hotel for longer than planned.
