At the end of the trip
What to record when you return a rental car
Before handing back your rental car, take photos that show how you left it. This is especially useful if you are dropping the keys into a box or returning the car when no staff are there to inspect it with you.

The quick check
Photograph the car before handing over the keys, record the dashboard and parking location, and keep the handover confirmation with your return photos.
Check the return instructions before arriving
Read the instructions for your booking, including the return location, fuel or charging arrangements and key handover. Allow time to find the right parking area and make your own record before leaving for your next connection.
If an instruction is unclear, ask the rental company through its usual contact channel and keep the reply. Photographing the car does not replace completing the agreed return steps.
Repeat a clear walkaround
Start with the registration and overall views, then work around the car in one direction. Where practical, use similar views to your collection photos. You do not need to reproduce every angle exactly, but a recognisable sequence makes the two records easier to navigate.
Different light, reflections, rain and viewing angles can make the same surface look different. Keep that context in mind when reviewing your collection and return photos. If a mark concerns you, record both its location and a closer detail instead of relying only on an apparent difference between two pictures.
- Front, rear and both sides, including visible corners and lower bodywork.
- Each wheel, visible tyre sidewalls, mirrors, lights and glass.
- The roof where it is safely visible from the ground.
- Seats, interior trim and the boot after you remove your belongings.
- Any area you recorded at collection or want to draw attention to at handover.
Record the details of the return
Photograph the dashboard while it is readable, including mileage and fuel or battery level. Keep any relevant fuel or charging receipt with your booking documents. Make sure no personal payment details or unrelated documents are visible in photos you intend to share.
After parking in the instructed area, take a wider view showing the bay number or nearby return sign. Note the return date and time while you are there. If you add a note later, make clear when you wrote it.
Keep the handover confirmation
If staff inspect the car with you, ask for a copy of the return record and keep it with your photos. If the return is unattended, follow the instructions for parking and depositing the keys, and save any receipt or confirmation the company provides.
Before walking away, check that you have your belongings and that the images you just took are usable. If you report an issue at return, retain the message or reference alongside the rest of the record.
Save a separate return record
Keep the original return files and a confirmed backup. Label the collection and return records clearly so they cannot be confused. Do not replace the collection set with a newer set or overwrite an earlier report when adding a note.
If a question comes up later, gather the relevant original photos, the condition records and your correspondence before responding. A clear sequence is easier to explain than a mixed camera roll of screenshots, edited images and duplicate messages.
