Swapping rental cars mid-trip: how to document both handovers
Swapping a rental car mid-trip often means transferring bags and learning a new set of controls when you would rather be on your way. Whether the car has developed a fault or the rental company has arranged a change, take time to record both vehicles. You need to show how you left the first car and what the replacement looked like when you collected it.

The quick check
Get the exchange agreed with the supplier, record both registrations and photograph each car at its own handover. Retain the first vehicle's return record and the replacement's collection agreement without mixing their evidence.
Agree the exchange before travelling to another branch
Contact the rental company and explain why you need to change the vehicle. Confirm where and when the exchange will happen, whether a replacement is available and any change to the price, fuel arrangement or return location. Retain the instructions and reference number. A nearby branch does not necessarily have a suitable vehicle ready.
For a breakdown or safety concern, contact the company's assistance team. SIXT's UK guidance says it will assess whether the car needs roadside help, repair or replacement, depending on the location and circumstances. It also requires prior approval before covering the cost of a car you hire independently. Check your own provider's instructions before making other arrangements.
Finish the first car's record while you still have access
When it is safe to do so, photograph the first car's registration, exterior, interior and dashboard before handing it over. Include the fuel or battery level, odometer and any relevant warning message. Take clear return views of areas documented at collection, and keep the company's explanation of the fault or reason for exchange.
If the car needs recovery, follow the recovery team's instructions and take photos only where it is safe. Note anything you could not check. Describe the warning or problem you noticed, and keep the company's explanation of the fault if it provides one.
Check that the paperwork identifies both cars
Ask for written confirmation that the first car has been handed back, with its registration, recorded mileage, fuel level and handover time. Check the replacement agreement for the new registration and starting readings. Keep both even if the company uses the same overall reservation number.
Confirm how the mileage allowance, fuel requirements, extras, authorised drivers and protection apply to the replacement. Ask about any changes before signing. SIXT explains that its return receipt records the handover and is separate from the final invoice. Keep both documents, whichever company you use.
- Supplier approval and the agreed exchange location.
- First car's registration, return photos and dashboard readings.
- Written return or recovery confirmation.
- Replacement registration, starting condition and readings.
- Updated agreement and confirmation of any changed terms.
Give the replacement a complete collection check
Check the replacement before moving luggage into it. Look around the bodywork, wheels, glass and interior, then compare any marks with its condition record. It is easy to rush this check after a delay, so give yourself time to photograph and report anything missing before driving away.
Start a separate collection record for the replacement in PickupLens, using its own registration. Keep the first car's photos with its original record. That makes it clear which vehicle you are showing when you later open a report or send a photo to the rental company.
Keep two clear records for one interrupted trip
Keep the messages about the exchange with both sets of documents, then use them to check the final invoice. If a charge appears, ask which registration and dates it concerns. Send the relevant photos for that car, with a short explanation of what they show.
A replacement car needs a separate paid collection scan in PickupLens. The optional return scan included with your first collection scan covers the car you are handing back. Keep both sets of originals and check that uploads complete, so each handover has a clear record of its own.
