Before you drive
Rental car already damaged at pickup? What to do before driving away
You have collected the keys, found the car and spotted a scratch that is missing from the paperwork. Before driving away, photograph it and ask the rental company to add it to the condition report. It is much easier to explain a mark while you are still beside the car than after the trip.

The quick check
Photograph the mark with enough context to locate it, compare it with the collection record, and ask the rental company to record anything missing. Keep the originals and the written response together.
Record the car before you move it
Start with the registration and a wider view of the affected side. Then take a photo that includes the whole panel and a closer view of the mark. A bumper scratch is much easier to place when the same sequence also shows the nearby light, wheel or number plate.
Keep enough distance for the phone to focus. Check the saved image, then try another angle if a reflection hides the surface. You do not need to decide whether a mark is technically a scratch, scuff or paint chip. Describe what you can see and leave the original image available for someone else to inspect.
Compare the mark with the collection record
Open the vehicle condition report or the damage section of your agreement. Check that it identifies the correct vehicle and read any existing observations. A diagram may show a general area without explaining the particular mark you found, so ask for clarification when the record is ambiguous.
If a member of staff walks around the car with you, point out the mark and ask for the record to be updated. Save the version you receive. A verbal reassurance is useful at the counter, but a written record is easier to refer to after the trip.
Rental companies have their own reporting instructions. Europcar's UK damage guidance, for example, asks customers to photograph discrepancies and report them before leaving. Use the instructions for your booking, location and rental company rather than assuming another company's process applies.
Send a short, factual message if needed
If staff cannot update the record immediately, use the company's stated reporting channel. Include the rental reference, registration, collection location and the specific area of the car. Attach the context photo and the close-up. Keep the sent message and any acknowledgement.
A message can be as simple as: ‘At collection today, before driving away, I noticed a scuff on the left rear bumper of vehicle [registration]. I cannot find it on the collection condition record. I have attached a wider view and a close-up. Please confirm that this is recorded as existing collection damage and send me the updated record.’ Only say you have not driven away if that is true.
Finish checking the rest of the car
One obvious mark can draw all your attention. After recording it, continue around the vehicle so the wheels, glass, mirrors and lower bumper corners are not missed. Record relevant dashboard warnings and any interior concern before setting off. Raise a possible safety issue with the rental company before driving.
PickupLens helps you keep that walkaround organised. You can check any marks the app suggests against your original photos and decide what to include in the report. AI can miss damage or mistake reflections for it, so inspect the car yourself too.
- Correct registration and a recognisable overall view.
- A location view and a clear close-up for each concern.
- The rental company's original and updated collection records.
- Your sent notification and the company's response or reference.
Keep the record available after collection
Keep original files even if you send smaller copies by email. Check upload status before depending on a backup, particularly on weak car-park Wi-Fi. A collection report brings your observations together; it does not replace notifying the company through its required channel or guarantee the outcome of a later disagreement.
Keep the photos you take at return separate from those taken at collection. PickupLens includes an optional return scan with a paid collection scan, so you have a record of how you left the car as well as how you received it.
