“Don't worry about that mark”: recording what the rental desk told you

By PickupLens ·

You point out a scrape and a member of staff says, 'Don't worry about it.' They may mean it is already recorded, below a charging threshold or simply not their department. Clarify what they mean while you are both looking at the car, then keep a factual record of the mark and the response.

The quick check

Ask whether the mark is already recorded and where. Photograph it, request a written note or acknowledgement, and keep an honest account of the conversation. Silence after a message does not confirm agreement.

Ask one concrete follow-up question

Try: 'Is this already on the condition report, and can you show me the entry?' If it is not recorded, ask how the company wants it added. That moves the conversation from a general reassurance to the specific panel and mark you are concerned about.

If the answer is that it falls within an allowance, ask where that applicable policy is recorded. Do not try to settle every possible charge at the counter. Your immediate aim is to establish that the mark was present when you collected the vehicle and to understand the reporting process.

Photograph the mark in context

Take a wider image showing which door, bumper or wheel you mean, followed by a clear close view. Check the saved images while you are still beside the car. Glare can make a pale scratch disappear even when it looks obvious to your eyes.

Use a plain description such as 'scuff on vehicle-right rear bumper below the lamp'. Avoid claiming a precise depth or cause that you cannot establish. PickupLens can help organise your condition photos, while the branch's report records what the rental company has acknowledged.

Get a written record of the existing damage

Ask staff to add the mark to the report or provide a written acknowledgement through the approved channel. Some forms have space for additional damage and the staff member's details. Keep the complete updated report rather than only a cropped image of one note.

A useful note identifies the car, panel and mark and says it was raised at collection. It does not need to accuse anyone or demand a guarantee about every future bill. If staff say they cannot amend the document, ask which support channel accepts a report and use it before departure where possible.

  • Record the agreement number and vehicle registration.
  • Describe the exact panel and visible mark.
  • Keep the time, branch and staff name if provided.
  • Save the relevant photographs and your sent message.
  • Keep the actual reply, including any limits or instructions.

Send a factual follow-up if the reassurance was verbal

For example: 'At collection today I showed the scuff below the right rear lamp to your handover colleague. I understood them to say it was already recorded. Please confirm the report entry. Attached are the photos taken before departure.' Adapt this to what really happened rather than using it as a formula.

Do not write that the company accepted responsibility unless it actually did. An unanswered message shows that you sent a report; it does not by itself show the company agreed with every statement. ECRCS evidence guidance recommends keeping correspondence and notes of calls, including dates and who you spoke with.

Make the same area easy to compare at return

Capture a fresh view of the area during your return record and keep the collection version accessible. If staff raise the same mark, show the earlier photo and written acknowledgement calmly and request that the comparison is noted.

If a charge later arrives, send the relevant evidence with a short timeline. The condition images and the communication support different parts of your explanation: one shows the visible mark, and the other shows what you reported and what the company said.
