Before you drive

Your rental car is wet or dirty: how to document its condition

By PickupLens ·

Rain is running down the rental car, mud covers the lower doors, or a fresh wash has left water beading on the paint. Scratches and dents can be hard to see in those conditions. Photograph the car as you receive it, note the areas you cannot check and ask the rental company how to complete the inspection.

The quick check

Photograph the car as supplied, record which areas are obscured and ask the rental company how to complete the inspection. Keep later dry or clean views separate from the original collection evidence.

Start by recording the car as supplied

Photograph the registration and take wider views before concentrating on a particular mark. Include the rain on the panels or the dirt across the lower bodywork, so someone looking at the photos later can see what made the inspection difficult. A close-up of a suspected scratch may leave out that context.

Walk around the vehicle in a consistent direction. Photograph the surfaces you can inspect, including wheels, glass, mirrors and interior areas. You can still create a useful record even when one area is unclear; keep the distinction between a visible concern and an area that you could not assess.

Look for an angle that shows the actual surface

Water and reflections change as you move. Try a slightly different position, keeping enough panel context to locate the detail. Check the saved photo for focus, glare and water on your own camera lens. Take another view when the image does not show what you can see with your eyes.

If you notice a line or dark patch but cannot identify it, describe what you see. ‘Dark line visible on the wet rear bumper’ is more precise than calling it a scratch when you are unsure. Do not polish, scrape or use a product to test the surface. Ask staff for help if it needs cleaning or drying before you can check it.

Ask the rental company to help with obscured areas

If staff are available, show them the area and ask whether it can be inspected somewhere covered or cleaned appropriately before you leave. Compare the result with the collection condition record and ask for anything missing to be added. Keep a copy of any update.

If the company cannot resolve the visibility problem at handover, use its reporting process to record the limitation and ask for instructions. Rental agreements differ, so a rain-covered car does not automatically create an extension to a damage-reporting deadline. Europcar's UK guidance, for example, asks customers to report discrepancies at collection; follow the terms and directions for your own booking.

Make the limitation specific enough to understand

Keep a note of which surface was obscured, by what, and when you raised it. Avoid a general statement that the whole car was impossible to check if some areas were plainly visible. Save the sent message and the company's response with the collection paperwork.

For example: ‘At collection, vehicle [registration] had mud covering the lower half of the left front and rear doors. I have photographed the car as supplied, but cannot clearly inspect the paint beneath that area. Please confirm how you would like this checked and recorded before departure.’ Adjust the message to match what actually happened.

  • Wider photos showing the rain, dirt or other obstruction.
  • Clear views of the surfaces that remain visible.
  • Location and detail photos of any concern you can see.
  • A specific note about obscured areas and the company's instructions.

Keep later photos separate from the collection record

PickupLens keeps your unedited photos alongside the marks you include in the report. Those originals can show both the concern and the conditions around it. Check any AI suggestions carefully: water, mud and reflections can hide damage or look like marks themselves.

If you inspect again once the car is dry or appropriately cleaned, keep the later photos and explain when they were taken. They may clarify a concern, but they do not independently establish what an obscured surface looked like earlier. Tell the rental company promptly about a newly visible concern and retain its response.

At the end of the trip, make a separate return record. The optional return scan included with your paid PickupLens collection scan lets you document how you left the car while keeping the earlier photos intact.
